Client Data Practices

When you work with Webernator, you may provide access to websites, hosting accounts, domain settings, software, files, business information, or other systems needed to complete your project. This page explains how we handle that access and information.

These practices supplement our Privacy Statement, Cookie Policy, Terms of Service, and any written agreement that applies to your project.

Client confidentiality

We treat nonpublic information provided by clients as confidential. We use client information only as reasonably necessary to evaluate a request, prepare a proposal, perform agreed services, communicate about a project, provide support, maintain business records, protect our legal interests, or meet applicable legal obligations.

We do not intentionally disclose confidential client information except when:

  • Disclosure is necessary to perform the requested services.
  • The client has authorized the disclosure.
  • A trusted service provider, contractor, or collaborator needs the information to perform authorized work.
  • Disclosure is required by law, court order, or another valid legal process.
  • Disclosure is reasonably necessary to protect a person, account, website, system, property, or legal right.

Information we may receive from clients

The information required for a project depends on the services requested. It may include:

  • Business and contact information
  • Website files, databases, content, and media
  • Branding materials and design assets
  • Domain, hosting, email, and software information
  • Website administrator or user access
  • Software settings and license information
  • Analytics, search, or performance information
  • Customer, user, subscriber, or form-submission information stored on a client-controlled system
  • Project communications, approvals, invoices, and payment records

Clients should provide only the information and level of access reasonably necessary for the project.

Credentials and account access

Some services require temporary or ongoing access to websites, hosting accounts, domain accounts, content-management systems, email services, analytics platforms, software, or other business tools.

We take reasonable steps to limit account access to authorized purposes. Whenever practical, clients should create a separate user account for Webernator instead of sharing the primary account owner’s username and password.

We recommend that clients:

  • Use strong and unique passwords.
  • Enable multi-factor authentication when available.
  • Provide the lowest access level that still allows the requested work to be completed.
  • Avoid sending passwords through unsecured public messages or comment areas.
  • Review authorized users periodically.
  • Remove or change access when it is no longer required.

No electronic storage, account, website, or transmission method is completely secure. Clients remain responsible for ownership and administration of their accounts, including reviewing users and changing or revoking access when appropriate.

Access to information on client websites

While designing, hosting, maintaining, updating, troubleshooting, securing, or supporting a client website, Webernator may encounter information collected by or stored on that website.

In most cases, the client determines why and how that information is collected and used. Webernator accesses or processes it only as reasonably necessary to provide the contracted services, maintain the system, address a technical issue, or follow the client’s lawful instructions.

We do not independently use information stored on a client’s website for unrelated marketing or commercial purposes.

Client responsibilities

Each client is responsible for the information collected through the client’s own website, forms, store, scheduling system, mailing list, account area, or other business tools.

Clients are responsible for:

  • Maintaining appropriate privacy notices, cookie disclosures, terms, and consent practices.
  • Determining whether the client’s business is subject to industry-specific or regional legal requirements.
  • Obtaining permission to use content, images, data, software, and other materials supplied to Webernator.
  • Ensuring they have authority to provide account credentials, business information, or personal information.
  • Providing lawful instructions concerning information processed through their website or systems.
  • Reviewing and approving website content, forms, policies, settings, and completed work.
  • Maintaining required software licenses, subscriptions, accounts, and third-party services unless otherwise agreed in writing.

If a client provides information concerning customers, employees, contractors, patients, students, members, website users, or other individuals, the client represents that it has the authority and lawful basis to provide that information for the requested services.

Sensitive and regulated information

Clients should notify Webernator before providing information subject to special legal, regulatory, contractual, or confidentiality requirements.

Examples may include medical information, financial account information, Social Security numbers, government identification numbers, protected student information, confidential legal material, trade secrets, or information governed by a specialized industry regulation.

Unless specifically agreed in writing, clients should not send unnecessary sensitive information or use Webernator’s general contact forms, email, or project communications to transmit highly sensitive records.

Artificial intelligence and automated tools

Webernator may use artificial intelligence, automation, and other software tools to assist with tasks such as drafting, research, coding, troubleshooting, content organization, design development, quality review, documentation, and business administration.

These tools support our work but do not replace client review or final human judgment. We seek to limit the disclosure of confidential or sensitive information to third-party tools.

When practical, information may be limited, summarized, anonymized, or separated from identifying details before it is processed through an AI-assisted tool.

Client information may be processed by a third-party tool when reasonably necessary to provide the requested services, when authorized by the client, or when appropriate protections have been applied. Clients should notify us before providing information that cannot be processed through third-party or AI-assisted systems.

Service providers, contractors, and collaborators

Webernator may use service providers, contractors, or collaborators to help deliver authorized services. Depending on the project, this may include providers that support:

  • Website hosting and domain management
  • Cloud storage and backups
  • Email delivery and communications
  • Project management
  • Payment processing and invoicing
  • Security, spam prevention, and malware protection
  • Analytics and website performance
  • Software development, design, or technical support
  • Artificial intelligence and automation

We seek to limit the information provided to these parties to what is reasonably necessary for their authorized role. Third-party providers operate under their own privacy, security, and contractual practices.

Backups and website changes

When appropriate and technically available, Webernator may create or confirm a backup before performing significant website updates, repairs, migrations, or configuration changes.

Backup availability and retention depend on the client’s hosting plan, maintenance plan, storage limits, third-party services, and the scope of the project. Unless included in a written service agreement, Webernator does not guarantee permanent backup storage or recovery from every type of failure.

Clients should maintain access to their own current copies of critical business records, website content, media, licenses, and other important materials.

Security practices

We use reasonable administrative, technical, and organizational practices intended to reduce unauthorized access, disclosure, alteration, loss, or misuse of client information.

Depending on the service and system involved, these practices may include:

  • Access controls and separate user accounts
  • Authentication and multi-factor authentication
  • Secure connections and encryption where available
  • Software, plugin, theme, and system updates
  • Backups and recovery measures
  • Security, login, and malware monitoring
  • Spam and fraud prevention
  • Limiting access to people with a legitimate need

No security practice can eliminate every risk. Webernator cannot guarantee that a website, account, server, storage platform, transmission, or third-party service will never experience a vulnerability, outage, unauthorized access, or data loss.

Security incidents

If Webernator becomes aware of a suspected security incident affecting information or systems within our responsibility, we may investigate the issue, take reasonable containment or corrective measures, preserve relevant records, and notify the affected client or other parties when appropriate or legally required.

Clients should contact us promptly if they suspect that credentials provided to Webernator have been compromised or that a website or account involved in our work has experienced unauthorized access.

Project completion and continued access

The amount of time Webernator retains access to a client system depends on the services provided.

Access may continue when Webernator provides hosting, maintenance, technical support, monitoring, updates, or another ongoing service. For one-time projects, clients may remove Webernator’s account or change shared credentials after confirming that the project and any agreed support period have ended.

We may retain project communications, proposals, contracts, invoices, technical notes, and related business records for accounting, legal, operational, support, or dispute-resolution purposes.

Changes to these practices

We may update these Client Data Practices as our services, tools, security procedures, or business operations change. The latest version will be posted on this page.
